These Terms of Access and Use apply to the SBC Events Knowledge Base, including all articles, guides, checklists, templates, screenshots, resources, downloads, videos, walkthroughs, examples, workflows and other materials made available through the knowledge base.

By accessing or using the knowledge base, you agree to these terms on behalf of yourself and, where applicable, the organisation, client account or event team you are accessing the knowledge base for.

If you do not agree to these terms, you must not access or use the knowledge base.

Full policy

1. Acceptance of these terms

You accept these terms by ticking the acceptance box presented through the SBC Events Knowledge Base, logging into the knowledge base after being prompted to accept these terms, or otherwise continuing to access or use the knowledge base after these terms have been made available to you.

New users will be prompted to accept these terms on first login. Existing users may be prompted to accept these terms on their next login after the terms are introduced or updated.

Acceptance is recorded on a per-user basis within Moodle. Once you have accepted the current version of these terms, you may not be prompted to accept them again unless the terms are updated, your access changes, or SBC Events reasonably requires a renewed acceptance.

If you access the knowledge base on behalf of an organisation, client account or event team, you confirm that you are authorised to accept these terms on behalf of that organisation, client account or event team.

SBC Events may keep a record of your acceptance, including your Moodle user account, name, email address, organisation, event, date and time of acceptance, version of the terms accepted, and relevant technical access information.

If you do not agree to these terms, you must not access or use the knowledge base.

2. Access to the knowledge base

Access to the SBC Events Knowledge Base is provided to support the event team connected to an active SBC Events project, client account, subscription or approved access arrangement.

At this stage, access may be provided through one shared login per event team. The login may only be used by authorised members of that event team who need access to the knowledge base for the relevant event, project or client work.

You are responsible for keeping login details secure and ensuring they are only shared with authorised members of your event team.

3. Who can use the knowledge base

For the purpose of these terms, your “event team” means the people directly involved in planning, building, managing or delivering the relevant event or project for your organisation.

Unless SBC Events gives written permission, you must not share knowledge base access, login details, links, resources, downloads or copied content with anyone outside your authorised event team.

This includes, but is not limited to:

  • external suppliers who are not directly supporting the relevant event
  • sponsors, exhibitors or attendees
  • other organisations, clients or agencies
  • platform vendors or software providers
  • competitors of SBC Events
  • anyone using the content for their own commercial, training, consulting or resale purposes

If you are unsure whether someone can access the knowledge base, you must contact SBC Events before sharing access or content.

4. Licence to access and use the knowledge base

Subject to these terms, SBC Events grants you a limited, non-exclusive, non-transferable and revocable licence to access and use the knowledge base for the approved event, project, subscription, client account or access arrangement.

This licence is granted only for the permitted purpose and only for use by the authorised event team.

Access to the knowledge base does not transfer ownership of any SBC Events content, resources, systems, templates, processes, workflows, intellectual property or confidential information.

5. Permitted use

You may use the knowledge base for internal event planning, event technology setup, event delivery, troubleshooting, training and handover purposes connected to your approved event, project, subscription or client account.

You may download, print or save reasonable extracts of the content for internal use by your authorised event team, provided the content is not altered, removed from context, republished, uploaded elsewhere or shared outside the authorised event team.

6. Prohibited use

You must not, and must ensure your authorised event team does not:

  • share login details outside the authorised event team
  • allow any unauthorised person to access or use the knowledge base
  • copy, reproduce, publish, upload, distribute or repurpose knowledge base content outside the authorised event team
  • use the content to create competing guides, courses, templates, training materials, consulting products, knowledge bases, workflows or commercial resources
  • remove SBC Events branding, copyright notices, proprietary notices or attribution from any content
  • sell, licence, transfer, assign, communicate to the public or commercially exploit any knowledge base content
  • scrape, crawl, bulk download or systematically copy the knowledge base
  • attempt to bypass access controls or gain unauthorised access to content, accounts, systems or materials
  • interfere with the security, operation or functionality of the knowledge base or any related SBC Events system
  • use the knowledge base in a way that could damage SBC Events, its clients, its systems, its reputation, its goodwill or its intellectual property
  • use the knowledge base for any unlawful, misleading, harmful or unauthorised purpose

7. AI tools, third-party tools and content sharing

You must not upload, copy, paste, input, process or share any SBC Events Knowledge Base content, resources, templates, screenshots, videos, downloads or materials into any public AI tool, generative AI platform, chatbot, shared database, third-party software, training system, knowledge base, automation tool or external platform without prior written permission from SBC Events.

This includes using the content to train, fine-tune, prompt, summarise, rewrite, reproduce, republish or generate new materials based on SBC Events’ knowledge base content.

This restriction does not prevent reasonable internal use of the knowledge base by the authorised event team for the approved event, project or client purpose, provided the content remains confidential and is not shared outside the authorised event team.

This restriction does not prevent SBC Events from using its own internal systems, hosting environment, email systems, administrative platforms or approved service providers to operate, manage, communicate about or improve the knowledge base.

8. Responsibility for authorised users

You are responsible for all use of the knowledge base by your authorised event team, including any person who accesses the knowledge base through a shared login, forwarded link, saved resource or copied content.

You must take reasonable steps to ensure your authorised event team understands and complies with these terms.

If a team member no longer requires access to the knowledge base, or is no longer part of the relevant event team, you must take reasonable steps to prevent that person from continuing to access or use the knowledge base.

If you become aware of any unauthorised access, sharing, copying, publication, misuse or suspected breach of these terms, you must notify SBC Events as soon as reasonably practical.

9. Intellectual property

All intellectual property rights in the knowledge base and its content are owned by SBC Events, unless otherwise stated.

This includes, but is not limited to, the structure, wording, explanations, articles, processes, checklists, workflows, templates, screenshots, graphics, videos, downloads, examples, layouts, training materials, setup logic, frameworks, know-how and supporting resources.

Access to the knowledge base does not transfer ownership of any SBC Events intellectual property to you or your organisation.

No rights in SBC Events’ intellectual property are granted to you except as expressly set out in these terms.

SBC Events retains all rights, title and interest in its knowledge base content, proprietary materials, business methods, event technology processes, training resources, workflows, templates, systems, know-how and confidential information.

10. Confidentiality

The knowledge base contains SBC Events’ confidential know-how, processes, training material, operational guidance, commercial resources and intellectual property.

You must treat the knowledge base content as confidential and take reasonable steps to prevent unauthorised access, copying, sharing, publication, disclosure or misuse.

You must only use the knowledge base content for the permitted purpose under these terms.

Your confidentiality obligations continue after your access to the knowledge base ends.

11. Accuracy and updates

SBC Events aims to keep the knowledge base accurate, useful and up to date. However, event technology platforms, settings, features, permissions, pricing, workflows and processes may change over time.

The knowledge base is provided as practical guidance only. It may not cover every event setup, platform configuration, technical issue, client requirement, compliance obligation or third-party platform change.

You remain responsible for checking that any guidance is suitable for your event, platform setup, internal process, technical requirements and compliance obligations.

Where you require advice specific to your event, project, platform setup or client requirements, you should contact SBC Events for project-specific support.

12. Suitability and reliance

You are responsible for determining whether the knowledge base content is suitable for your needs, event, organisation, platform setup and intended use.

SBC Events is not responsible for decisions made solely in reliance on general knowledge base content where project-specific advice, review or support has not been requested.

You acknowledge that copied, downloaded or printed content may become outdated and should not be relied on as the current version of SBC Events’ guidance unless confirmed through the knowledge base or directly by SBC Events.

13. Third-party platforms and materials

The knowledge base may refer to third-party platforms, software, tools, websites, systems, providers or services.

SBC Events does not control third-party platforms and is not responsible for changes, outages, errors, pricing, permissions, data handling, platform decisions, feature changes or limitations introduced by third-party providers.

Any third-party names, screenshots, platform references or examples are included for practical guidance and remain the property of their respective owners.

14. Hosting, availability and related systems

The SBC Events Knowledge Base is hosted within SBC Events’ internal server environment and managed by SBC Events.

SBC Events will use reasonable efforts to keep the knowledge base available and accessible. However, access may be affected by factors outside SBC Events’ control, including hosting infrastructure, Moodle, plugins, internet connectivity, browser issues, end-user devices, scheduled maintenance, security issues, third-party outages or force majeure events.

SBC Events may use selected third-party platforms for related administrative or communication purposes, including email delivery, client communications and account administration. These systems are not intended to transfer ownership or control of the knowledge base content to any third party.

SBC Events is not responsible for loss, delay, interruption or access issues caused by third-party systems, client-side systems, end-user devices, internet connectivity, unauthorised changes, user error, or circumstances outside SBC Events’ reasonable control.

SBC Events may carry out maintenance, updates or security work on the knowledge base from time to time. Where practical, SBC Events will take reasonable steps to minimise disruption.

15. Account security and misuse

You are responsible for keeping knowledge base access secure and ensuring the login is only used by authorised members of your event team.

You must not attempt to bypass access controls, share restricted content, create unauthorised copies, or use the knowledge base in a way that interferes with the security or operation of SBC Events’ systems.

You must not upload or input into the knowledge base any content, files, code, links or materials that may be unlawful, harmful, malicious, offensive, infringing, confidential to another party without permission, or otherwise inappropriate.

16. Login reminder notice

SBC Events may display a notice, reminder or warning near the login area, within the knowledge base, or in another visible location to remind users of their acceptance of these terms and their ongoing obligations.

This reminder does not replace the formal acceptance process. It is intended to reinforce that access to the knowledge base is restricted, confidential and subject to these terms.

17. Suspension or removal of access

SBC Events may suspend or remove access to the knowledge base if SBC Events reasonably believes that:

  • login details have been shared outside the authorised event team
  • knowledge base content has been copied, distributed, uploaded, republished or misused
  • there has been a breach of these terms
  • access creates a security, confidentiality, privacy or intellectual property risk
  • access is no longer connected to an active project, subscription, client account or approved access arrangement
  • payment or account requirements connected to access have not been met
  • suspension is required to prevent fraud, abuse, unauthorised access, unlawful activity or damage to SBC Events’ systems, clients, reputation or commercial interests
  • SBC Events is required to suspend access by law, court order, regulator direction or third-party platform requirement

Where practical, SBC Events will provide notice before removing access. However, SBC Events may suspend or remove access immediately where it reasonably considers this necessary to protect its systems, confidential information, intellectual property, clients, users or commercial interests.

SBC Events may also ask you to delete, return or stop using any copied content that has been accessed, shared or used without permission.

18. When access ends

Access to the SBC Events Knowledge Base may end when the relevant project, subscription, client account or approved access arrangement ends.

When access ends, you must stop accessing and using the knowledge base. You must not continue to copy, share, adapt, republish, distribute, train from or commercially use any knowledge base content.

You may keep reasonable internal records that were created for your completed event or project, provided those records are not shared outside your organisation or used to create competing resources, training materials, templates, guides, knowledge bases, workflows or commercial services.

On request by SBC Events, you must return, delete or stop using any knowledge base content that has been copied, downloaded, printed, saved or shared outside the permitted use.

This includes all copies, extracts, summaries, adaptations and resources based on the knowledge base content.

Your confidentiality and intellectual property obligations continue after your access to the knowledge base ends.

19. Feedback

If you provide comments, suggestions, corrections, ideas or other feedback about the knowledge base, you grant SBC Events a non-exclusive, royalty-free licence to use, reproduce, adapt and incorporate that feedback for the purpose of improving the knowledge base, SBC Events’ services, resources or business activities.

SBC Events is not required to pay you, credit you or seek further approval before using feedback you provide.

20. Privacy and access records

SBC Events may collect and store limited information about knowledge base access and acceptance of these terms, including names, email addresses, organisation details, event details, Moodle user account details, login activity, acceptance date, version of the terms accepted and relevant technical access information.

This information is used to manage access, record acceptance of these terms, protect SBC Events’ systems and content, support client accounts, identify misuse, and administer the knowledge base.

The SBC Events Knowledge Base is hosted on SBC Events’ internal server environment. Acceptance records and knowledge base access records are stored within Moodle and managed internally by SBC Events.

SBC Events may use selected third-party platforms for related administrative or communication purposes, including email delivery and client communications. Where third-party providers are used, SBC Events will take reasonable steps to ensure those providers are appropriate for the purpose and are used in accordance with applicable privacy and security obligations.

SBC Events will handle personal information in accordance with its privacy obligations and any applicable privacy policy.

21. Liability and reliance on knowledge base content

The SBC Events Knowledge Base is provided as practical guidance only. It may not cover every event setup, platform configuration, technical issue, client requirement, compliance obligation or third-party platform change.

To the maximum extent permitted by law, SBC Events is not responsible for loss, damage, delay, error, rework, missed deadlines, access issues, technical issues or other consequences caused by:

  • use of the knowledge base outside the permitted purpose
  • unauthorised changes made by the client, event team or third parties
  • reliance on outdated, copied, downloaded or printed content
  • third-party platform changes, outages, limitations, pricing changes or permission issues
  • incorrect setup, incomplete information or decisions made without seeking project-specific advice from SBC Events
  • sharing, copying or using the knowledge base in breach of these terms
  • client-side systems, internet connectivity, browser issues, user devices, user permissions or internal processes
  • circumstances outside SBC Events’ reasonable control

Nothing in these terms excludes, restricts or modifies any rights, guarantees or remedies that cannot be excluded under Australian Consumer Law or any other applicable law.

22. Indemnity

You indemnify SBC Events against any loss, damage, cost, expense, claim or liability suffered or incurred by SBC Events arising from:

  • your breach of these terms
  • unauthorised sharing, copying, publication or misuse of knowledge base content
  • use of the knowledge base by anyone who accesses it through your login, link, saved content or authorised event team
  • your use of the knowledge base outside the permitted purpose
  • any third-party claim that materials you upload, provide, share or input infringe intellectual property rights, confidentiality obligations, privacy obligations or other legal rights

This indemnity does not apply to the extent the loss is caused by SBC Events’ gross negligence, wilful misconduct, or breach of a non-excludable legal obligation.

23. Relationship with other SBC Events terms

These terms apply specifically to access and use of the SBC Events Knowledge Base.

If you have entered into a separate proposal, service agreement, subscription agreement, project terms, product terms or other written arrangement with SBC Events, those terms continue to apply.

If there is any inconsistency between these Knowledge Base Terms of Access and Use and another written agreement with SBC Events, the more specific document will apply to the relevant issue, unless otherwise agreed in writing.

24. Changes to these terms

SBC Events may update these terms from time to time. The latest version will apply from the date it is made available through the knowledge base or otherwise provided to you.

If a material change affects your access or obligations, SBC Events will take reasonable steps to bring the change to your attention.

If SBC Events materially updates these terms, users may be prompted to accept the updated version on their next login. SBC Events may record acceptance of each version of these terms.

Your continued access to or use of the knowledge base after updated terms are made available will be treated as acceptance of the updated terms.

25. Disputes

If a dispute arises in relation to these terms or your access to the knowledge base, either party may notify the other party in writing and provide details of the dispute.

The parties must use reasonable efforts to resolve the dispute in good faith before commencing formal proceedings, except where urgent action is required to protect confidential information, intellectual property, systems, security, access controls or legal rights.

Nothing in this clause prevents SBC Events from seeking urgent injunctive, declaratory or other urgent relief where required.

26. General

Assignment

You must not assign, transfer or sublicence your rights or obligations under these terms without SBC Events’ prior written consent.

Waiver

A failure or delay by SBC Events to exercise a right under these terms does not operate as a waiver of that right.

Severability

If any part of these terms is found to be invalid, unlawful or unenforceable, that part will be severed and the remaining terms will continue to apply.

Governing law

These terms are governed by the laws of Queensland, Australia.

Each party submits to the non-exclusive jurisdiction of the courts of Queensland and the courts competent to determine appeals from those courts.
